Paragraph by paragraph
I am writing to apply for the Senior IT Support Analyst post at King's College London. I have worked in IT support since 2020, starting on first line at Computacenter and since May 2022 on second line at Capita, where I look after more than 2,000 users.
Two lines of support in one sentence
The post, then his path from first to second line and how many users he supports. A service desk manager can place him straight away.
I close more than 40 tickets a day in ServiceNow, across Windows, Mac and Linux. Last year I changed how we triage new tickets so the right ones reach second line straight away, and our average resolution time fell from four hours to an hour and a half.
Volume and one improvement
Forty tickets a day shows the workload. The triage change is the more important point, because it improved the whole team's numbers.
I manage our on premises Active Directory for those 2,000 users, including group policies, permissions and new accounts. I also led our move to Microsoft 365 for 500 users over a single weekend, and nobody lost access on the Monday morning.
Administration and a project
Active Directory work shows he has the permissions and trust that second line needs. The migration is told through its result for users.
At Computacenter I supported more than 800 users by phone, email and remote desktop, resolving 95% of calls first time, and I set up more than 300 laptops and workstations for new joiners.
First line, with the right measure
First time resolution and laptop builds are the first line skills that still matter on a senior desk.
I hold ITIL 4 Foundation. A university, with its mix of staff, students and research equipment, is the kind of place I would like to support next, and I can start after one month's notice.
Certification and the reason for the move
The ITIL line names the version. The reason for applying to a university is about the work itself, which makes it believable.
Support numbers that mean something
Service desks run on numbers, and the person reading your letter sees them every week. Use the same terms.
| What to measure | How to put it |
|---|---|
| Volume | Tickets or calls a day, and how many users you support. |
| First contact resolution | The percentage, and whether it was by phone, chat or in person. |
| Resolution time | Before and after, with what you changed. |
| SLA | The share of tickets inside the agreed time, for your queue or your team. |
| Satisfaction | The survey score users give after a ticket closes, if your desk collects it. |
| Projects | Users moved, devices deployed and what happened to the people affected. |
For a recruiter or an online form
Many IT support roles are filled through recruiters and short online forms. This version gives them the volumes, the systems and the improvement.
Product names that changed
Microsoft and others have renamed products in the last few years. Using the current names shows you work with them now.
- Microsoft Entra ID is the new name for Azure Active Directory, from July 2023. On premises Active Directory is still Active Directory, so say which you manage.
- Microsoft 365: the Office 365 business plans were renamed Microsoft 365 in April 2020. If you migrated people to it, call it Microsoft 365.
- Certifications: give the exact name, such as Microsoft 365 Certified: Endpoint Administrator Associate (exam MD-102).
- ITIL: PeopleCert released ITIL (Version 5) in early 2026, and ITIL 4 qualifications are still recognised. Say which version you hold.
Other support roles and how to start
First IT job
Show any technical work you have done, from helping colleagues to home labs, and a certification you are working on.
I have been the unofficial IT person in our office of 40 for two years, and I passed CompTIA A+ in September.
Desktop or field support
Give the sites, devices and travel involved.
I cover desktop support for six schools across the borough, mostly laptops, printers and classroom displays.
Third line or infrastructure
Show server, network or cloud work and any scripting.
Alongside second line, I look after our Windows servers and have written PowerShell scripts that set up new starters in a few minutes.
Service desk team lead
Talk about the team, the numbers you manage and one change you led.
I lead a service desk team of eight, and this year we brought our SLA from 87% to 96% by changing how we route tickets.
Moving from an outsourcer to an in house team
Show the range of clients you supported and why you want one organisation.
In three years at an IT services company I supported four clients, and I want to look after one organisation and get to know its people.
Showing you are ready to move up a line
Most IT support careers move from first line to second line to third line or a specialist role. The letter should show you already do some of the work from the line above yours.
- First to second line: problems you solve yourself instead of escalating, and admin rights you hold.
- Second to third line or infrastructure: servers, networks, scripting such as PowerShell, and projects you led.
- Into a team lead role: people you train, process changes like better triage, and how you handle major incidents.
Where IT support letters lose the reader
A list of every tool
Twenty product names hide the two or three that match the job.
Name the systems in the advert and what you did with them.
No numbers
Without volumes and resolution figures, the reader can’t judge your level.
Give tickets per day, users supported and one improvement.
Old product names
Azure AD and Office 365 suggest your experience is older than it is.
Use Microsoft Entra ID and Microsoft 365.
Only fixing, never improving
Senior posts want someone who reduces tickets as well as closing them.
Add one process or automation change.
Plain, short and specific
- Length: one page. Ryan's letter is about 210 words.
- Tone: plain, the way you would write a good ticket update.
- Certifications: the exact name and version, with the year if it is recent.
- Who reads it: usually the service desk or IT support manager, sometimes with someone from the infrastructure team.
The main points from this page
- 1Give volumes: tickets per day and users supported.
- 2Show one improvement to the process, with before and after numbers.
- 3Use current product names such as Microsoft Entra ID.
- 4Name certifications exactly, with the version.
- 5Show the work from the line above that you already do.
Frequently asked questions
What should an IT support cover letter include?
The role and organisation, your support level and how many users you support, tickets per day, first contact resolution or resolution time, one improvement, projects such as migrations, and your certifications.
What is the difference between first, second and third line support?
First line takes the first contact and fixes common issues, second line handles problems that need more access or knowledge, and third line covers servers, networks and the hardest problems.
Should I write Azure AD or Microsoft Entra ID?
Microsoft Entra ID, the name since July 2023. On premises Active Directory keeps its name.
Is ITIL 4 still worth mentioning after ITIL 5?
Yes. PeopleCert released ITIL (Version 5) in early 2026, and ITIL 4 qualifications are still recognised. Say which version you hold.
How long should an IT support cover letter be?
Keep it to a page; 200 to 250 words is usually enough.
