Paragraph by paragraph

  1. Please consider my application for the Senior Administrator role in the production engineering office at Toyota Manufacturing UK in Burnaston. I have worked in engineering administration in Derby since 2020, first for Siemens and now for Rolls-Royce, where I support three Engineering Directors.

Who she supports, from the first line

She names the role, the office and the site, then sums up her background in one sentence. Saying whom she supports (three directors) tells the reader the level of her work more clearly than any job title could.

  2. Most of my day goes on coordinating three very full diaries. I book their travel and arrange meetings of up to 30 people across UK and international offices, and in four years none of them has had a scheduling clash.

Diaries, with a number that means something

Diary management is on almost every admin CV. What makes this version useful is the scale (three directors, meetings of 30 across countries) and a result that is easy to understand: no clashes in four years.

  3. I also prepare the slides and meeting packs for our quarterly business reviews and process about £50,000 of purchase orders a month. Before an order goes out I check it has the right approver and budget code, and that it follows our procurement policy, because fixing a mistake after the supplier has it takes far longer.

    Showing how she checks things

This paragraph covers two more duties, but the interesting part is the second sentence. It explains what she checks and why, which tells the reader she understands what errors cost.

  4. At Siemens I looked after an office of more than 80 engineers and handled over 100 items of post a day, some of them confidential. I reorganised the filing so that finding a document went from about 15 minutes to under two, and people still mention it when I see them.

    What the Siemens years add

The Siemens paragraph adds volume and confidentiality, then a clear improvement. The last part, that people still mention it, makes the result feel real without boasting.

  5. I have a Level 3 Diploma in Business Administration from Derby College and use Microsoft 365 every day, including Excel to track orders and spend. Burnaston is an easy drive from home, I can start after one month's notice, and I would welcome the chance to meet you.

The practical details at the end

Her diploma and the software she uses daily, then location and notice. Mentioning the drive is not filler for a site role: employers outside city centres often worry about how staff will get there.

Turning admin adjectives into evidence

Admin adverts ask for the same few qualities, and most letters answer by repeating them. A reader can't check an adjective, but they can check a number or an example. Here is how Emily covers each one without using the word.

The advert asks forWeak letter saysEmily shows it with
Organisation"I am highly organised."Three directors' diaries, no clashes in four years.
Attention to detail"I have great attention to detail."Checking approver, budget code and policy on £50,000 of orders a month.
Discretion"I am trustworthy and discreet."Handling confidential post every day at Siemens.
Initiative"I always use my initiative."Reorganising the filing so documents took under two minutes to find.
IT skills"Proficient in Microsoft Office."Using Excel to track orders and spend, and building review packs.

You don't need all five. Pick the two or three the advert stresses most and give each one a real example.

For the supporting statement box

Manufacturers and other large employers often ask for a short supporting statement on their online form. This version keeps the strongest numbers and the practical details.

Administrator, assistant, coordinator, PA: what the titles usually mean

Admin job titles vary a lot between employers, so read the duties before deciding a job is above or below you. As a rough guide:

TitleUsually meansWhat to stress in your letter
Administrative assistantSupport for a team: post, filing, data entry, bookings.Accuracy and volume.
Administrator or senior administratorRunning a process or an office area with some independence.Things you own and improvements you made.
CoordinatorMaking several people or teams work to one schedule.Events, projects or rotas you pulled together.
PA or executive assistantSupporting one or two senior people closely.Diaries, travel, discretion and how you save them time.
Office managerResponsible for the office itself, often with a budget and staff.Budgets, suppliers and people you managed.

First lines for other admin situations

Your first admin job

Use school, college, volunteering or part time work. Organising anything, from a club’s rota to a family business’s invoices, counts if you can describe it clearly.

First line

I have kept the bookings, invoices and staff rota for my family’s café for a year, and I am looking for an office role I can do alongside my business course.

Moving up to PA or executive assistant

Focus on the senior people you already help and how you save them time. Discretion and judgment matter more than speed at this level.

First line

I already manage the diaries of three engineering directors, and I would like to work more closely with one senior leader as their executive assistant.

Admin apprenticeship

Show you are reliable and willing to learn. Mention your GCSEs, any office experience and why this employer’s apprenticeship appeals to you.

First line

I finished my A levels in June and I am applying for your business administration apprenticeship because I learn best by doing the work.

Remote or virtual assistant

Show you can work without being watched: the tools you use, how you keep people updated and the hours you can cover.

First line

For two years I have supported four small business owners remotely, handling their email, invoices and bookings from my home office in Leicester.

Returning after a career break

Keep the explanation to a sentence and show you are up to date with current software.

First line

After five years at home with my children, I am returning to office work and have just completed a Microsoft 365 course to bring my skills up to date.

Talking about confidential work

Administrators see a lot of personal and business information, and UK data protection law covers much of it. A cover letter is a good place to show you take that seriously, as long as you don't give anything away while doing it.

  • Describe the type of information, not the content: "confidential post", "salary letters", "board papers".
  • Mention any training you have had on data protection or information security, in a short line.
  • Don't name people or describe a sensitive situation, even to show how well you handled it.

Where admin letters go wrong

01

Relying on adjectives

Words like "organised", "hardworking" and "detail oriented" appear in nearly every admin letter, and none of them can be checked.

Give one number or example for each quality the advert asks for.

02

Listing every program you have opened

A long list of software tells the reader little, because nearly everyone applying uses the same tools.

Mention a program only with what you do in it, like tracking orders in Excel.

03

No sense of volume

"Handled post and filing" could mean five letters a week or a hundred a day.

Give the numbers: people supported, items a day, value of orders.

04

Typos and inconsistent formatting

Admin roles are about accuracy, so a mistake in the letter counts against you more than in most jobs.

Read it aloud, check names and dates, and keep fonts and spacing consistent.

05

Nothing about the team you would support

Admin work is support work, so the reader wants to know you understand who you would be helping.

Name the team or office from the advert and connect it to someone you support now.

Layout and the file you send

  • Length: one page, about 250 words. For an admin job, a tidy, well spaced letter shows you are careful with your own work too.
  • Greeting: Dear Hiring Manager is fine when the advert gives no name, and in British style it closes with Yours faithfully, as Emily's does. With a name, use Yours sincerely.
  • Layout: paragraphs, one font, consistent spacing, and your contact details at the top.
  • File: a PDF named with your name, unless the form asks for a Word document.
Key takeaways

The main points from this page

  • 1Show organisation with numbers, not adjectives.
  • 2Say whom you support, because it shows the level of your work.
  • 3Explain one thing you check and why it matters.
  • 4Mention software only with what you do in it.
  • 5Keep confidential work general: the type of information, never the details.

Frequently asked questions

What should an administrative assistant cover letter include?

The role, who you support now, two or three examples with numbers that match the advert’s main requirements, your qualifications and software, and practical details like notice period.

How do I show I am organised in a cover letter?

Give an example the reader could check: the number of diaries you manage, events you have arranged, or a process you made faster, with a before and after.

Should I say Dear Hiring Manager?

If the advert doesn’t give a name, yes. In British letters, a greeting without a name closes with Yours faithfully; with a name, Yours sincerely.

What if I have no admin experience?

Use anything where you organised people, money or information: volunteering, a club, part time work, a family business. Describe it with the same kind of numbers.

How long should an admin cover letter be?

One page, about 250 words. Online forms often want a shorter statement, around 100 words.
