reason for this company, from a public story

Paragraph by paragraph

  1. I'm applying for the Bilingual Customer Service Team Lead position at Chewy. I've worked in customer support since 2020, the last four and a half years at Shopify, where I handle about 50 conversations a day across chat, email and phone, in English and Spanish.

    Volume and languages up front

In two sentences the manager learns which job she wants, where she works now, how many customers she handles and in which languages. For a bilingual role, putting both languages in the opening means nobody has to hunt for the requirement that decides the shortlist.

  2. Across more than 6,000 tickets a year, I hold a 97% customer satisfaction score and resolve 85% of issues on the first contact, which means most merchants who contact me never have to come back about the same problem. When I noticed the same questions coming back every week, I wrote 25 help center articles, and repeat contacts on those topics fell by 18%.

    Her numbers, in plain words

The phrase after the numbers explains first contact resolution for anyone outside support, including the recruiter who may read the letter first. The help center articles show something managers look for in a lead: she fixes the reason people get in touch, not just each conversation.

  3. Coaching is the part of my work I want to do more of, and it's a big part of this role. At Shopify I've mentored five new hires, and with a buddy system and shadowed shifts we cut the time they needed before handling tickets alone from six weeks to four. At T-Mobile I was named Star Performer three times for quality scores, and I learned there that most angry billing calls calm down once the customer can tell you're really looking at their account.

Leading people before having the title

She hasn't led a team officially, so she gives the closest thing: the people she coached, how she did it and the result. The T-Mobile line shows judgment with upset customers, which a team lead needs as much as speed.

  4. I've followed Chewy since reading, in 2022, about a customer who lost her dog and received flowers from the company. What stayed with me is that the note was signed by the agent she had spoken to. I'd like to lead a team where agents are trusted to make calls like that.

    Why this company

Instead of praising the company's values, she mentions one public story and what she took from it. It is specific and true, and it leads back to the job: giving agents the freedom to use their own judgment.

  5. I'm in Miami and set up for remote work, with a dedicated workspace and a wired connection. I'd welcome a conversation, and I can share my QA scorecards from the last two quarters if they would help.

    Remote setup and proof

For a remote role, the manager needs her location and setup first. Offering her QA scorecards ends the letter with something they can check.

Translate your metrics for someone outside your team

The first reader of a support application is often a recruiter, not a support manager. So write each metric in a way both of them will understand: say what it measures, give your number, and add the volume or time period behind it.

MetricWhat it measuresHow to write it
CSAT (customer satisfaction)The share of surveyed customers who rate the interaction as satisfied."A 97% satisfaction score across more than 6,000 tickets a year."
FCR (first contact resolution)The share of issues solved without the customer having to come back."85% of issues resolved on the first contact."
AHT (average handle time)The average time a contact takes, including hold and follow up work.Give it only next to a quality measure; a fast handle time alone can mean rushed customers.
NPS (net promoter score)Promoters minus detractors, on a scale from minus 100 to 100.Say whether it was yours or the team's; NPS is usually a company number.
QA scoreHow your contacts score against the company's own quality checklist.Give the score and the period, and offer the scorecards.
Repeat contact rateHow often customers come back about the same issue.Pair it with what you changed: "Repeat contacts on those topics fell by 18%."

If your company measures something differently, say how in a few words. Managers know definitions vary and respect an applicant who notices.

The short version, for an application form

Large support teams hire through forms with a short "why do you want this role" box. This version keeps the two metrics and the leadership line, and fits most limits.

I hold a 97% satisfaction score and resolve 85% of issues on the first contact across more than 6,000 tickets a year. The front line is shrinking, so show the work that stays

The US Bureau of Labor Statistics counted 2,666,000 customer service representative jobs in 2025 and projects employment to fall by 5% between 2025 and 2035, while still expecting about 289,500 openings a year as people move on or retire. Its 2025 median pay for the job was $44,770 a year.

So there are fewer jobs, but people still move on and need replacing. That means more applicants for each role, and the work that stays with people tends to be the work a help page can’t handle. A strong support letter in 2026 leads with that kind of work:

  • Complex cases: disputes, escalations and customers who are upset for good reason.
  • Fixing causes: knowledge base articles, feedback to product teams, macros that others use.
  • Coaching: new hires you trained and how quickly they became independent.
  • Judgment: a time you bent a rule for the right reason, and how you justified it.

How to open for other support roles

First support job, from retail or hospitality

You have already dealt with customers face to face. Say how many a day, what usually went wrong and how you calmed things down.

First line

For three years I worked the returns desk at a busy department store, where about 60 customers a day came to me with a problem and most left without needing a manager.

From phone support to chat and email

In chat and email support, everything the customer sees is your writing, so the letter itself is a sample. Keep it clean and short, and give a quality score for written work if you have one.

First line

After two years on the phones at a mobile network, I am applying for your chat and email team, and I already write up every call in our CRM in full sentences.

Moving into customer success

Customer success is judged on renewals and how much customers use the product, rather than tickets. Describe a customer relationship you kept up over months and what it was worth.

First line

I have spent four years solving merchants’ problems one ticket at a time, and I want to move to customer success, where I can help the same accounts for a whole year.

Technical support for software

Show that you can reproduce a problem and write a clear bug report. Name the tools you use to investigate, not only the help desk software.

First line

Most tickets that reach me are the ones the help center could not solve, and I spend much of my day reproducing bugs and writing them up for our engineers.

Seasonal or part time

Put your availability in the first paragraph: dates, days and hours. A scheduler needs that before anything else.

First line

I am available for your holiday support team from November 15 to January 10, including weekends and evenings.

The bilingual line and the remote line

Two short lines decide many support shortlists, and both are often missing.

Languages. "Spanish (fluent)" on a CV tells a manager little. In the letter, say which channels you use each language on and roughly how much: phone in both, or chat only; about a third of your contacts, or the occasional one. Phone support in a second language is harder than written support, and managers know it.

Remote setup. For remote roles, give your city and state, a dedicated workspace and a wired or reliable connection. Many US employers can hire remote staff only in certain states, so your state is not a detail; it can decide whether your application is read at all.

Five mistakes that keep support letters in the pile

01

Calling yourself a people person

"Friendly, patient and a great communicator" turns up in a lot of support letters, and it doesn’t tell the reader anything.

Describe a conversation you handled instead: what the customer needed, what you did and how it ended.

02

Numbers without volume or time

A 97% satisfaction score from twenty surveys is very different from one across 6,000 tickets, and managers know that.

Give the number of contacts and the time period with every metric.

03

Only talking about tickets

Fast replies are expected of everyone. What makes someone ready to lead is cutting down how often customers need to get in touch.

Mention a help article, macro or product report you wrote, and what it changed.

04

Copying the company’s values page

Repeating the company’s values back to them shows you found the page. It doesn’t show you share them.

Name one real thing the company did and what it taught you about the job.

05

Typos in a job that is mostly writing

For chat and email roles the letter is a writing test, and a mistake in it makes the reader wonder about your replies to customers.

Read it aloud once and check every name, including the company’s spelling.

Length and format for US employers

  • Paper and date: US Letter size, and the date with the month first: October 29, 2026.
  • Greeting and sign off: Ms. or Mr. with a period, a colon or comma after the name, and Sincerely to close whether you know the name or not.
  • Length: one page, about 250 to 350 words; the form version under 100.
  • No photo: the EEOC, which enforces US employment discrimination law, says employers should not ask for an applicant's photograph and may obtain one after an offer if needed for identification. Leave it off the letter and the CV.
  • Personal details: no age, date of birth or marital status. City and state are enough for location.
Key takeaways

The main points from this page

  • 1Give every metric its volume and period: 97% CSAT across 6,000 tickets a year.
  • 2Translate metrics for a recruiter, not only for a support manager.
  • 3For a lead role, show people you coached and how fast they improved.
  • 4Name your languages with the channels, and your state for remote roles.
  • 5Offer QA scorecards: managers trust them more than any adjective.

Frequently asked questions

What should a customer service cover letter include?

The role and company, your channels and daily volume, two metrics with their scale, one example of fixing a cause rather than a ticket, and practical details such as languages, location and availability.

How do I write a customer service cover letter with no experience?

Use the customer facing work you have done in retail, hospitality or volunteering: how many people you helped a day, a difficult situation you handled, and what you learned from it. The first line suggested above for that case shows how.

Should I put my CSAT score in my cover letter?

Yes, with the number of contacts and the period behind it. A satisfaction score means a lot more when the reader can see how many customers it covers.

What if the company has no famous customer story?

Most don’t, and you don’t need one. Use what you can see yourself: how their help center is written, how they answer customers in public, or what happened when you were their customer. Mentioning one specific thing you noticed does more than any amount of praise.

Who do I address the letter to if there is no name?

In the US, Dear Hiring Manager is standard and nobody will mark you down for it. If the job post or the careers page names the team lead or the recruiter, use that name. Sincerely works either way.
