Paragraph by paragraph
I've worked on hotel front desks in Toronto since 2016, most recently at the Fairmont Royal York, and I'm applying for the Front Office Supervisor position at Park Hyatt Toronto.
Experience first, then the job
She opens with her years on Toronto front desks since 2016 and the hotel she works at now, then names the position. Starting with experience suits a supervisor application.
At the Royal York I check guests in and out of a 1,300 room hotel on Opera Cloud, on both early and overnight shifts. In the surveys guests fill in after their stay, my score has averaged 9.2 out of 10 over the last three years. I've also increased room upgrades by 12%, mostly by asking at arrival what has brought someone to Toronto and offering an upgrade that suits the trip.
Scores and upgrades, with how she does it
Room count and shifts show the scale. The guest score has its period, and the upgrade figure comes with the method, which a manager watching revenue will want to know.
Most complaints reach me first, and I try to settle them before they go any further. That usually means a quick call to housekeeping or the concierge while the guest is still at the desk, so the duty manager only hears about the problems that really need them.
Complaints, handled at the desk
This paragraph is the main evidence for a supervisor role. It describes how she works with other departments without naming a single guest.
Before the Royal York I spent two and a half years at the Drake Hotel, a 51 room boutique hotel, on arrivals, cashiering and night audit support. I balanced every folio and card payment for two full years without a cash discrepancy, and I trained two new agents on Opera and our service recovery standards.
The boutique hotel years
A small hotel means doing a bit of everything. Cash accuracy and training two agents are the two facts a front office manager will care about most.
I speak French fluently, which helps with guests from Quebec and France, and I hold Smart Serve certification and Emergency First Aid with CPR Level C. I'm happy to work any rotation, including overnights.
French, certificates and shifts
French is useful in many Canadian hotels, so it goes with an example. Smart Serve matters in Ontario wherever front desk staff sell alcohol, and the rotation line answers the scheduling question.
Front desk numbers a hotel will recognise
Hotels measure the front desk closely, so your letter can use the same numbers a manager sees in their reports. Pick two or three that match the posting.
| Number | How to write it |
|---|---|
| Guest satisfaction | The score, the scale and the period, such as 9.2 out of 10 over three years. |
| Upgrades or upsell | The increase and how you got it. |
| Size of the property | Room count and the kind of hotel, such as a 51 room boutique or a 1,300 room downtown property. |
| Cash and folios | Accuracy over a period, and whether you did night audit. |
| Complaints | How many you resolve at the desk, or how you work with housekeeping and concierge. |
Name your property management system too. Opera Cloud, Opera 5 and other systems each take time to learn, and a hotel on the same one saves training.
For a hotel careers site with a message box
Hotel groups usually take applications through their careers site, often with a short message box. This version fits it and keeps the scores.
Applying to a hotel in Ontario
- Smart Serve: in Ontario, anyone who sells or serves alcohol in licensed premises needs Smart Serve or another course approved by the AGCO. Certificates issued on or after 1 July 2018 expire five years after they were issued, so check the date on yours before you mention it.
- Personal details: the Ontario Human Rights Commission says application forms should not ask about age or marital status, so leave them out of your letter and CV too.
- French: say how well you speak it, such as fluent or conversational, and give one example of using it with guests.
- Spelling: Canadian hotels expect Canadian spelling, such as colour and centre.
Other front desk jobs and their openings
Your first hotel job
Show the service experience you have, from retail, restaurants or a call centre, and your availability.
I have worked the counter at a busy café in the Annex for two years, and I am looking for my first front desk job at a downtown hotel.
Night auditor
Give the property size, the audit tasks you do and how you handle late arrivals alone.
For two years I have run the night audit at a 300 room hotel by the airport, usually as the only person on the desk after midnight.
Luxury or boutique hotel
Focus on personal service, remembering returning guests and small touches.
At a 51 room boutique hotel I came to know most of our returning guests by name, and many asked for me when they booked again.
Resort or seasonal work
Say when you are available, whether you need staff housing and the kind of guests you have looked after.
I am available from December to April and have worked two winter seasons on the front desk of a ski resort in British Columbia.
Front office manager
Talk about the team, scheduling, budgets and a result across the department.
I lead a front office team of 18 across three shifts, and this year we raised our guest score from 8.6 to 9.1 while cutting overtime.
From front desk agent to supervisor
A supervisor runs the shift as well as the desk. Your letter should show you already do parts of that job, even without the title.
- Problems you settle yourself, and how you decide when to call the duty manager.
- People you have trained, on the system or on service standards.
- Cash and audit: balancing, night audit and any checks you sign off.
- Busy nights: full occupancy, group arrivals or an overbooked night, described in general terms.
Five mistakes in hotel receptionist letters
Friendly and nothing else
Every applicant says they are friendly, so it doesn’t help a manager choose.
Give a guest score or a complaint example instead.
Leaving out the system
Hotels train on their property management system, and knowing it already saves them time.
Name the PMS you use, such as Opera Cloud.
Guest stories with names
Naming a guest, even a famous one, makes a manager wonder about your discretion.
Describe what happened in general terms.
No word on shifts
Front desks run around the clock, and rotas are hard to fill.
Say which shifts you can work, including nights.
Wrong spelling for the country
American spelling in a letter to a Canadian hotel looks careless.
Use Canadian spelling for Canadian employers.
Format for a Canadian hotel
- Length: one page, about 250 words. Emma's letter is a little shorter.
- Paper and date: Letter size, with the date written October 30, 2026, which most Canadian employers use.
- Greeting: Dear Ms. MacLeod, with the comma, and Sincerely to close.
- Who to address: the front office manager or director of rooms, often named in the posting.
The main points from this page
- 1Give your guest score with its scale and period.
- 2Show you settle problems at the desk.
- 3Name your property management system.
- 4Mention Smart Serve in Ontario if you hold it, and check the expiry date.
- 5Say which shifts you can work.
